How heavy does an umbrella base need to be for outdoor events?

Why does an umbrella base need weight?

A branded umbrella is a big sail on a single pole. Our event umbrellas come in 2m and 3m square and 2.7m hexagonal sizes, and every one of them catches wind. If an umbrella isn't secured properly, it can collapse or become airborne and hurt people nearby.

The base holds the pole upright. The weight you add to it is what keeps the whole umbrella on the ground when the wind picks up.

How heavy should the base be?

There isn't one figure for every site. Follow the umbrella maker's instructions first, then the rule for your event. Councils and venues set their own minimums, so ask the organiser for the site's event guidelines before you book freight. We don't publish a wind rating for our umbrellas.

As an example, the City of Whitehorse in Victoria says market umbrellas must have a minimum of 40kg of weight per umbrella. It also says no tent pegs or stakes, and lists the weights it accepts: sandbags, steel leg weights, concrete weights or water ballast.

Note: Makeshift weights such as plastic bags or buckets filled with sand aren't allowed under the Whitehorse rules, and they're a poor idea anywhere.

Can I peg the umbrella into grass instead?

Often not. The City of Port Phillip, for example, says in its outdoor events guidelines that all temporary structures on grassland must be weighted and not pegged unless the council authorises it. Even then, irrigation lines have to be marked by council officers before anyone starts. Plan on weights for grass, sand and hard surfaces alike, unless the council or venue tells you otherwise in writing.

Steps to weight a branded umbrella for an outdoor event

1. Check the rules for your site. Ask the event organiser or venue for their minimum weight per umbrella and the types of weight they accept, and write it on your bump-in sheet.

2. Choose the spot. Set the umbrella up on a flat, level surface, away from roads, paths and overhanging branches. Whitehorse also asks for at least 3m from garden beds and any trees or roots.

3. Lay the base flat on the ground. Our optional base plate fits any of our umbrella sizes and weighs 15kg. If you're not sure which base goes with your umbrella, ask us and we'll match them up.

4. Fit the pole into the base. Slide the bottom of the centre pole all the way into the socket, then tighten the knob on the side of the socket to hold it firm.

5. Add your weights. Place sandbags or steel weights on the base plate until you reach the site's minimum. Count the 15kg base plate in the total: for a 40kg rule, add at least 25kg, such as four of our 7kg sand bags (28kg). Spread them evenly around the pole so the base can't tip one way.

IMPORTANT: Weigh what you bring. A bag that "looks heavy" is often lighter than you think, and the site rule is a minimum, not a target.

6. Open the canopy. Work with two people: one steadies the pole while the other opens the canopy.

7. Check the set-up before the public arrives. The pole should stand straight, the base should sit flat with no gaps underneath, and the weights shouldn't be a trip hazard. If something doesn't look right, fix it before anyone sits underneath.

8. Close the umbrella before the wind gets up. Agree a pack-down trigger with the organiser at bump-in. The City of Greater Geelong says your event risk assessment should have umbrellas and other lightweight objects packed away or dismantled before it gets windy, so don't wait for a storm warning. Our guide on exhibiting at an outdoor event covers wind triggers, rain and sun in more detail.

9. Finally, at the end of the day, close the canopy, lift off the weights, take the pole out of the base and pack it all away, and you're done!
